Getting your first package processed

This walkthrough takes you from a folder of bid documents to an exported set of approved notes. Plan on a short session for the first package while you get used to the review screen.

Before you start

Gather the package the way you would for a manual review: contract, specifications, drawings, addenda, exhibits and bid forms. PDFs work best. Text-searchable PDFs give the most reliable page citations.

1. Create a project

Sign in and create a new project for the bid. Give it the project name and bid date so your team can find it later.

2. Upload the documents

Add every file in the package to the project. Include addenda as separate files rather than merging them into the specs, so citations point to the right document.

3. Start processing

Start processing once the upload is complete. BidNotes reads the documents together and drafts notes. Larger packages take longer. You can leave the page and come back.

4. Review the draft notes

Open the notes list. Work through them one at a time:

  1. Read the note.
  2. Click the citation to open the source page.
  3. Approve it, edit and approve it, or set it aside.

Add your own notes for anything you know matters that isn’t there.

5. Export to Word

When the review is done, export. Only approved notes go into the Word document, grouped by scope, cost and compliance, each with its citation.

Stuck?

Use the support form and tell us which step you’re on. Include the project name, but don’t attach bid documents to the form.
